Pennant Solutions Group is hiring a Project Coordinator to handle customer communication and project deliverables in the painting industry. This is a hybrid role (in office, remote and on customer sites). Candidates must be local to the greater Richmond, VA area.

Project Manager Job Description

Roles
Project Budget allocation
Determine budget for labor and material for each project based on the quote

Client Communication
In charge of communicating with customers once the project is scheduled
through completion of the project and payment processed

Material acquisition
Order paint, supplies, and specialty equipment for each project, ensure they are
at the office a week prior to project start date

Crew management and preparation
Continuing education and training for Crew Leads and Crew Members
Communicate project details, specifications, requirements prior to project start
date with crew lead

Project Oversight
Review and familiarize themselves with the status of each project and continually
check in on projects in person
Be onsite on the start date of each project
Check in on-site with each assigned project daily as possible; Daily check-in with
client on site or virtually

Project Completion
Conduct a final walkthrough on the last day of project as the crew is finishing up
with the project manager, crew lead, and client

Payment collection
Collect payment from clients within 48 hours of final walkthrough

Crew Lead Accountability
Require and ensure daily updates on project progress from crew leads
Encourage and develop leadership skills with their crews

KPI tracking and reporting
Daily updates to Production Value Schedule
Weekly tracking and reporting of project performance
Monthly reporting of overall Project performance based on:

In-house Onboarding
Interview and Onboard new Crew Leads and Crew members as needed

Employee Management
Maintain understanding of strengths and pain points for each crew member
Ensure employees are following rules and obligations of role

Expectations
Client Satisfaction
Client satisfaction and overall experience are critical aspects of project
management.
Project Manager will handle all client communication once the project is
scheduled through the end of the project.
Project manager will ensure the client is informed of all relevant information
throughout the project
Project Manager is expected to ensure clients Experience the Highfill Difference.
This means that the client feels as though they are in the right hands at Highfill
Painting.
Project manager is expected to receive a 5 star google review from each client
Project Manager is expected to resolve any issues that would result in a less
than satisfactory experience for the client, and ensure we have done everything
feasible and within reason to ensure client satisfaction
Project Manager is expected to inform Production Manager of any major issues
and events needing their attention

Maintain Project Profitability
Project Manager is expected to achieve a minimum gross profit margin of 55%
This is achieved through project budgeting and keeping certain costs
below threshold. Keeping labor cost and material costs within budget will
allow for the expected gross profit margin

Inform Production Manager of any issues affecting project profitability outside of
production’s control.

Quality Control
Ensure that project quality is maintained as expected by the client throughout the
process.
Initial Walkthrough on the first day of project to ensure no details or client
expectations are missed
Daily Check-ins on-site to ensure our SOP’s are followed and crew is operating as
they should
Final Walkthrough on the last day of the project that ensures any issues and
touchups are taken care of before the project ends.
