JOB DUTIES:
• Help with general office work and coordination for company leaders, and staff from the parent company in Japan, as well as visitors from partner companies.
• Manage calendars, including scheduling appointments, meetings, and conferences.
• Organize all travel, both international and domestic, and prepare detailed schedules and itineraries for company executives.
• Help make meetings run smoothly by creating agendas, providing materials, and taking notes.
• Build and keep good working relationships with colleagues at the company's main offices in Japan and the U.S.
• Prepare and edit letters, reports, and presentations.
• Plan and organize important events that a lot of people will see.
• Update the conference room schedules when needed.
• Look for ways to make processes more efficient and save money, increasing efficiency.
• Every month, make sure the company's credit card records and expense reports are all in order.
QUALIFICATIONS:
• A minimum of 5-8 years of experience providing comprehensive administrative support to executives, partners, community members, and staff across diverse tasks.
• Fluency in reading, speaking, and understanding Japanese is required.
• A profound comprehension of the business cultures, norms, and customs prevalent in both Japan and America.
• A Bachelor's Degree in Business Administration or a related field is preferred.
• Proficient in using Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
