What You Will Do This position will be filled at either the Information Specialist 1 or Information Specialist 2 level, depending on the skills of the selected candidate. Additional job responsibilities (outlined below) will be assigned if the candidate is hired at the higher level.
Information Specialist 1 ($59,200 - $91,600) The Service Innovation Document Control and Records Management (PSE-IM) Group is seeking a motivated, organized, and tech-savvy individual to provide document control and records management support to various customers across the Laboratory. The selected candidate will work directly with customers to manage information and process new and revised documents and records to ensure the most current information is available for operational and programmatic work. The successful candidate must be results and performance oriented with a track record of dependability, adaptability, and strong customer service skills. The candidate must be highly motivated and able to excel in a dynamic, fast-paced environment.
Responsibilities include, but are not limited to:
- Managing the information lifecycle process, including initiation, review, and issuance of documents
- Maintaining and making available project planning and execution documentation
- Processing programmatic and operational documents and records
- Identifying and applying retention policies to records
- Coordinating the release of information and/or records in accordance with established procedures
- Processing incoming and outgoing documents/records, managing document/record reviews, and tracking actions to closure
- Ensuring compliance with applicable requirements and standards
- Providing customer support for DCRM applications
- Providing guidance and recommendations to customer organizations on procedures and processes
- Identifying and implementing process improvement initiatives
- Resolving issues or challenges associated with managing information in unclassified or classified environment
Information Specialist 2 ($71,200 - $112,900) In addition to what was outlined at the lower level, at this level may be asked to implement or contribute to the implementation of a Document Control and/or Records Management (DCRM) program for new customers or organizations.
What You Need Minimum Job Requirements: - Demonstrated understanding of or experience working with information in a controlled or safeguarded environment.
- Basic understanding of regulations and drivers behind controlled information.
- Strong computer and technical skills and familiarity with Microsoft Word, Excel, PowerPoint, Teams, Adobe Acrobat, and shared drives.
- Experience working with information where monitoring and recording new information was required.
- Proven ability to develop positive customer relationships and provide exceptional customer service.
- Self-motivated and organized with strong attention to detail.
- Ability to use judgement and experience to recommend solutions to issues or problems.
- Follow detailed instructions and execute them quickly, efficiently, and effectively.
- Demonstrated ability to deliver clear and concise communications.
- Must be able to obtain a DOE "Q" security clearance which typically includes being 18 years of age or over and a US Citizen.
Additional Job Requirements for Information Specialist 2: In addition to the requirements outlined above, qualification at the higher level requires:
- Experience implementing or supporting document control and/or records management (DCRM) activities or programs.
- Demonstrated understanding of DCRM regulations and drivers.
- Experience with a DCRM repository such as Documentum or an EDMS system.
- Keen understanding of document configuration management activities.
- Ability to use judgement and conduct research to recommend process improvement and technical solutions to issues and problems within an established scope.
Education/Experience at lower level: Position requires a minimum of 2 years information management experience, or an equivalent combination of education, certification, or experience.
Education/Experience at higher level: Position requires a Bachelor's degree plus a minimum 5 years of related information management experience; or, an equivalent combination of education, certification, or experience directly related to the occupation. Desired Qualifications: - Experience working in an NQA-1 environment.
- Experience using Documentum, SharePoint, or PDMLink applications.
- Active Q clearance.
Work Location: This position is located in Los Alamos, NM. With the potential for a hybrid work arrangement (partially onsite/partially offsite). Candidate must be located within 2 hours ground commute of Los Alamos, NM. Reporting onsite will be periodically required. No Clearance: Position does not require a security clearance. Selected candidates will be subject to drug testing and other pre-employment background checks.
New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.
Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
