Job Description
The Administrative Professional 2 is a key role at the Commission. In this position, you will be responsible for:
- Answering telephones, taking messages, referring calls, greeting visitors, and receiving and processing mail.
- Responding to questions from the general public and other government agencies by telephone, letter, or in person, such as explaining Commission procedures.
- Maintaining accurate records and filing systems, including entering and retrieving information, maintaining and updating databases, and handling records and evidence for case files, while performing data entry.
- Preparing dockets and indexes by compiling, organizing, and printing docket information, reviewing permit holder history, and summarizing information on dockets.
- Assisting in the creation of case files and filing documents in case files, including the receipt of certified mail, motions, filings, and evidence.
- Assisting in processing continuance notices and notifying parties and witnesses of continuances through typing, copying, and mailing.
- Regularly updating the Commission website with continuances and posting of notices and indexes, and processing subpoena requests.
- Assisting with certified mailings, reserving and preparing rooms for hearings.
- Assisting in registering attorneys, permit holders, law enforcement, and other witnesses, and briefing principals on hearing procedures.
- Scheduling and obtaining bids for court reporters while collecting data for public hearings.
- Reviewing records retention schedules and processing files for archives or shredding according to the agency's retention schedule.
- Processing travel expenditures by creating and modifying expense reports and travel authorizations.
- Handling checks, invoices, vouchers, witness fees, sheriff writs, and other documentation, and submitting them for review and approval.
- Verifying invoice accuracy by matching purchasing and receiving documents and tracking payments.
- Acting as a payment card (p-card) holder and maintaining reconciliation spreadsheets.
- Entering and maintaining asset inventory in OAKS, including annual certification.
- Managing office equipment and supplies, including ordering, tracking, and arranging repairs.

Qualifications - Completion of associate core coursework in secretarial science or business office applications from accredited career school or community college.
- Or 18 months experience or 18 months training in secretarial/administrative professional field.
- Or 6 months experience as Administrative Professional 1 (State of Ohio job code 16871)
- Or Equivalent of Minimum Class Qualifications For Employment noted above.
